Create Pre-Alert and convert

Purpose

This article explains how customers create a Pre-Alert in the Thulo Logistics Module.

A Pre-Alert allows customers to notify the logistics company in advance about incoming packages.
Pre-Alerts help staff prepare for package intake and convert them into Locker Packages for further processing.


Who This Is For

  • Customers (primary)

  • Staff (reference only)


Required Permissions

  • Customer portal access

  • Logistics → Pre-Alert → Create (Customer)


When You Should Use This

Customers should create a Pre-Alert when:

  • A package is expected to arrive at the logistics company

  • Shipment information is available before physical arrival

  • Advance notification is required for smoother processing

Pre-Alerts are optional, but strongly recommended.


What Happens Before This Step

Before creating a Pre-Alert:

  • Customer account exists

  • Recipient has been created (recommended)

  • Basic shipment or package information is available


Step-by-Step: Create a Pre-Alert

Step 1: Navigate to Pre-Alerts

Log in to the Customer Portal and go to Logistics → Pre-Alert.

Step 2: Enter Pre-Alert Information

Fill in the required details, such as:

  • Recipient

  • Reference or tracking number

  • Package description

  • Expected arrival details (if applicable)

Some fields may be optional depending on configuration.

Step 3: Review and Submit

Review the entered information and click Submit.

After submission:

  • The Pre-Alert becomes read-only

  • Staff are notified of the incoming package

  • Customers can no longer edit the Pre-Alert


What Happens After This Step

After a Pre-Alert is submitted:

  • Staff review the Pre-Alert

  • Staff convert the Pre-Alert into a Locker Package

  • Normal logistics processing continues:

    • Invoicing

    • Shipment creation

    • Delivery

Creating a Pre-Alert does not create a shipment or invoice by itself.


Important Rules to Know

  • Pre-Alerts are customer-submitted only

  • Customers cannot edit Pre-Alerts after submission

  • Staff control conversion and processing

  • Charges are calculated only after Locker Package creation


Common Mistakes to Avoid

  • Submitting incomplete or incorrect recipient details

  • Expecting Pre-Alerts to trigger delivery automatically

  • Attempting to edit Pre-Alerts after submission

  • Confusing Pre-Alerts with Shipments

Customers create pre-alerts and send them to the admin portal. Staff will convert them into locker packages.

Step 1. Add customer admin: go to Users menu under the Logistic module → Customers tab → go to customer detail → select Customer Admins tab → select Assign Admin button and select staff 

 

Step 2. Login customer portal → select Logistic → select Pre-Alert List

Step 3. Select Create Pre-Alert button 


Step 4.  In the Create Recipient, fill in the requested fields


Courier Company field options are taken from Settings in admin portal

 

Step 5. Select Save

After the pre-alert is successfully created, its status is Pending, and it is also displayed in the Pre-Alert List menu of the admin portal.


 

At the same time, the system will send email and web notifications to customer admin.



Step 6. Login to admin portal → select Pre-Alert List menu → select an alert and click Convert to Package


Step 7. The system redirects to the Add Package Shipment page, fill in the requested fields and select Save 


⇒ Result: a new packing list is created.


 

Pre-Alert status changes to Approved.


The system will send an email notification to the customer that the locker package has been created.
