Training process for employees in HR Records

Employee Training Management

The Training Management feature in Thulo HR Records is used to create, assign, deliver, and track employee training programs.

The training process allows organizations to:

  • Define training categories and skill types

  • Create question libraries and assessments

  • Build training programs

  • Assign training programs to employees or job positions

  • Track employee training results and completion status

Training Workflow

The recommended training setup process is:

Create Training Types
          ↓
Create Training Libraries
          ↓
Create Training Programs
          ↓
Assign Training to Employees
          ↓
Employee Completes Training
          ↓
Review Training Results

Step 1: Create Training Types

Training Types are used to categorize training programs based on skills, knowledge areas, or competencies.

Examples

  • Customer Service

  • Sales Skills

  • Product Knowledge

  • Workplace Safety

  • Leadership Training

  • Technical Skills

Create a Training Type

  1. Navigate to Thulo HR → HR Records.

  2. Select Settings → Types of Trainings.

  3. Click Add.

Result

The system will display the Add Type of Training screen.

  1. Enter the required information.

  2. Click Save.

The training type will be available when creating training libraries and training programs.


Step 2: Create Training Libraries

Training Libraries are used to create question banks and assessments that will later be included in training programs.

Create a Training Library

  1. Navigate to HR Records → Training Libraries.

  2. Click Add.

Result

The system will display the Add New Training Library screen.

  1. Enter the required information.

  2. Click Save.


Field Descriptions

Training Type

Select the skill or training category.

The available options are retrieved from:

Settings → Types of Trainings

Name

Enter the name of the questionnaire or assessment.

Example

  • Customer Service Assessment

  • Product Knowledge Quiz

  • Safety Awareness Test


Step 3: Create Training Questions

After saving the Training Library, the system will open the Training Questions screen.

Add Questions

  1. Click Add Another Question.

  2. Enter the question details.

  3. Configure the answer options.

  4. Click Save.


Question Settings

Required

When enabled, the employee must answer the question before submitting the assessment.

Mandatory questions cannot be left blank.

Score

Enter the score awarded when the correct answer is selected.

Add Answer

Use the Add Answer function to create additional answer options.

Delete Answer

Use the Delete Answer function to remove an answer option.

Delete Question

Use the Delete Question function to remove the question and all associated answers.


Preview the Assessment

Use the Preview function to review the questionnaire before publishing it.

Notes

  • Questions marked with * are mandatory.

  • Mandatory questions must be answered before the assessment can be submitted.


Step 4: Create a Training Program

Training Programs combine training content and assessments into a complete training experience.

Create a Training Program

  1. Navigate to HR Records → Training Programs.

  2. Click Add.

Result

The system will display the Add New Training Program screen.

  1. Enter the required information.

  2. Click Save.

Alternatively, click Close to cancel the operation.


Field Descriptions

Training Program Name

Enter the name of the training program.

Examples

  • New Employee Orientation

  • Customer Service Certification

  • Sales Excellence Program

  • Product Knowledge Training


Training Type

Select the training category.

When a Training Type is selected, the system displays available questionnaires associated with that training type.

The questionnaires are retrieved from:

Training Libraries


Training Program Item

Displays the questionnaires and assessments associated with the selected training type.

Administrators can choose which assessments are included in the training program.


Minimum Point

The Minimum Point field defines the minimum score an employee must achieve to successfully complete the training.

Example

Maximum Score Minimum Passing Score
100 70

Employees who score below the required minimum will be marked as Not Completed.


Additional Training Program for Staff

This option allows the training program to be assigned directly to specific employees.

When enabled:

  • Multiple employees can be selected.

  • The training program is assigned directly to those employees.

Default Behavior

If Additional Training Program for Staff is not selected, the training program will be assigned automatically to employees based on the selected Job Position.


Training Assignment Methods

Job Position-Based Training

Training is assigned automatically to employees holding a specific job position.

Example

Position: Sales Executive

Assigned Training:

  • Product Knowledge Training

  • Sales Process Training

  • CRM Usage Training


Employee-Specific Training

Training is assigned directly to selected employees.

Example

Employee: John Smith

Assigned Training:

  • Leadership Training

  • Advanced Product Certification


Step 5: Review Training Results

After employees complete their training assessments, the results can be reviewed.

View Training Results

  1. Navigate to HR Records → Training.

  2. Select Training Results.

Result

The system displays:

  • Employee Name

  • Training Program

  • Score Achieved

  • Passing Score

  • Completion Status

  • Completion Date


Training Completion Status

Completed

The employee's score meets or exceeds the minimum passing score.

Example

Minimum Score Employee Score
70 85

Status: Completed


Not Completed

The employee's score is below the minimum passing score.

Example

Minimum Score Employee Score
70 60

Status: Not Completed

The employee's training profile will reflect the incomplete status.


Important Notes

  • Training Types should be created before creating Training Libraries.

  • Training Libraries contain the assessments and question banks used in training programs.

  • Training Programs can be assigned by Job Position or directly to specific employees.

  • Employees must achieve the minimum required score to complete a training program successfully.

  • Training Results automatically track employee performance and completion status.

  • Employee training history can be reviewed through the Training Results screen.

  • Training programs play an important role in onboarding, compliance, skill development, and employee performance improvement within Thulo HRMS.
