How to set up and create contracts in HR record module

Getting Started with Employee Contracts

In Thulo HR Records, employee contracts are managed through a structured setup process. Before creating a contract for an employee, administrators must first configure the required contract-related settings.

The contract setup process follows the sequence below:

  1. Create Contract Types

  2. Create Salary Types

  3. Create Allowance Types

  4. Create Contract Templates

  5. Create Employee Contracts

These configurations ensure that contract information, salary structures, and allowances are available when creating employee contracts.


Step 1: Create Contract Types

Contract Types are used to categorize employee contracts, such as probationary contracts, permanent contracts, temporary contracts, or internship contracts.

Create a Contract Type

  1. Navigate to Thulo HR → HR Records.

  2. Select Settings → Contract Types.

  3. Click Add.

Result

The system will display the New Contract Type screen.

Enter the required information and click Save.

The created contract type will be available for selection when creating employee contracts.


Step 2: Create Salary Types

Salary Types are used to define salary components that can be included in employee contracts.

Examples:

  • Basic Salary

  • Probation Salary

  • Monthly Salary

  • Hourly Salary

Create a Salary Type

  1. Navigate to HR Records → Settings → Salary Types.

  2. Click Add.

Result

The system will display the New Salary Type screen.

Enter the required information and click Save.

The created salary type will be available when configuring employee contracts.


Step 3: Create Allowance Types

Allowance Types are used to define employee benefits and allowances that may be included in contracts.

Examples:

  • Transportation Allowance

  • Meal Allowance

  • Housing Allowance

  • Communication Allowance

  • Performance Allowance

Create an Allowance Type

  1. Navigate to HR Records → Settings → Allowance Types.

  2. Click Add.

Result

The system will display the New Allowance Type screen.

Enter the required information and click Save.

The created allowance type will be available when creating contract templates and employee contracts.


Step 4: Create a Contract Template

Contract Templates allow organizations to standardize employment agreements and contract structures.

Templates can include:

  • Contract terms

  • Salary information

  • Allowance information

  • Employment conditions

  • Company policies

Create a Contract Template

  1. Navigate to HR Records → Settings → Contract Templates.

  2. Click New Contract Template.

Result

The system will display the Add Contract Template screen.

Enter the required template information and click Save.

The contract template will be available when creating employee contracts.


Step 5: Create an Employee Contract

After configuring Contract Types, Salary Types, Allowance Types, and Contract Templates, you can create employee contracts.

Create a Contract

  1. Navigate to HR Records → Contracts.

  2. Click Add.

Result

The system will display the New Contract screen.

Enter the required contract information, including:

  • Employee

  • Contract Type

  • Contract Template

  • Contract Start Date

  • Contract End Date (if applicable)

  • Salary Information

  • Allowance Information

  • Contract Terms

After entering the required information, click Save.


Contract Creation Workflow

The recommended setup sequence is:

Contract Types
       ↓
Salary Types
       ↓
Allowance Types
       ↓
Contract Templates
       ↓
Employee Contracts

Following this workflow ensures that all required contract-related data is available before employee contracts are created.


Important Notes

  • Contract Types must be created before employee contracts can be assigned a contract category.

  • Salary Types define the salary components available within contracts.

  • Allowance Types define additional employee benefits and compensation.

  • Contract Templates help standardize employment agreements across the organization.

  • Employee Contracts are created using the information configured in the previous setup screens.

  • Contract information can later be used by other modules such as Payroll, Attendance, and Employee Management within Thulo HRMS.
