Job Descriptions in HR Records

Job Descriptions

The Job Descriptions feature in Thulo HR Records is used to create and manage job positions within the organization.

Job positions created in this module are used throughout the HR system, including:

  • Employee Management

  • Recruitment

  • Onboarding

  • Contracts

  • Organizational Structure

  • Performance Management

When a candidate successfully completes the recruitment process and is transferred to the HR Records module, their job position information is synchronized with the Job Descriptions module.

Automatic Position Synchronization

When candidate information is transferred from Recruitment:

  • If the job position already exists in the Job Descriptions module, the system will use the existing position.

  • If the job position does not exist, the system will automatically create a new job position record.

This ensures that employee position information remains consistent across the system.


Job Description Setup Workflow

Before creating a job position, administrators should first create a Position Group.

The recommended workflow is:

Create Position Group
          ↓
Create Job Position

Step 1: Create a Position Group

Position Groups are used to organize similar job positions into categories.

Examples

  • Management

  • Sales

  • Marketing

  • Human Resources

  • Finance

  • Information Technology

  • Customer Service

Create a New Position Group

  1. Navigate to Thulo HR → HR Records.

  2. Select Job Descriptions.

  3. Click Groups.

  4. Select New Group.

Alternatively:

  1. Select Group Management.

  2. Click New Position Group.


Step 2: Configure the Position Group

The system will display the New Position Group screen.

  1. Enter the required information.

  2. Click Save.

Alternatively, click Close to cancel the operation.

Result

The Position Group will be available for selection when creating job positions.


Step 3: Create a Job Position

After creating a Position Group, you can create individual job positions.

Create a New Job Position

  1. Navigate to HR Records → Job Descriptions.

  2. Click New Job Position.


Step 4: Configure the Job Position

The system will display the New Job Position screen.

  1. Enter the required position information.

  2. Click Save.

Alternatively, click Close to cancel the operation.

Result

The new job position will be created and available throughout the HR system.


Field Descriptions

Job Code

The Job Code field is used to enter a unique code for the position.

Examples

  • HR001

  • SALES001

  • FIN001

  • IT001

Using unique job codes helps standardize position management and reporting.


Name

The Name field is used to enter the title of the position.

Examples

  • Human Resources Officer

  • Sales Executive

  • Marketing Manager

  • Accountant

  • Software Developer


Job Group

The Job Group field is used to assign the position to a previously created Position Group.

Example

Position Job Group
Sales Executive Sales
HR Officer Human Resources
Accountant Finance

This helps organize and filter positions throughout the HR system.


Department

The Department field is used to assign the position to a department.

The department list is retrieved from:

Setup → Support → Departments

Examples

  • Sales Department

  • Human Resources Department

  • Finance Department

  • Operations Department

Assigning departments helps structure the organizational hierarchy and reporting relationships.

Important Notes

  • Position Groups should be created before creating Job Positions.

  • Job Positions are used throughout the HR Records and Recruitment modules.

  • Job position information is automatically synchronized when candidates are hired from the Recruitment module.

  • If a synchronized position already exists, the system will reuse the existing position record.

  • If the synchronized position does not exist, the system will automatically create a new position.

  • Departments are selected from the Department configuration in the Support module.

  • Job Codes should be unique to avoid duplication and improve reporting accuracy.
