Org Chart in HR Records

Organization Chart

Purpose

The Organization Chart screen is used to create and manage the organizational structure of the company.

Within the Organization Chart module, administrators can create and maintain organizational units (departments, divisions, branches, teams, or business units) and visualize the reporting structure of the organization.

The organizational units created in this screen are synchronized with the Departments screen in the Setup → Support menu, ensuring consistency across the system.

The Organization Chart is also used throughout HR Records for employee assignments, reporting structures, workforce planning, and organizational management.


Units

Purpose

Units represent the departments, divisions, branches, or organizational entities within the company.

Each unit forms part of the overall organizational hierarchy and can be displayed within the organizational chart structure.


Create

To create a new unit:

  1. Navigate to HR Records → Organization Chart.

  2. Click Add New Unit.

  3. The Add New Unit screen will appear.

  4. Enter the required unit information.

  5. Click Save to create the unit.

  6. Alternatively, click Close to cancel the operation without saving.

Once saved, the unit will become part of the organizational structure and will synchronize with the Departments setup.


Edit

To edit an existing unit:

  1. Navigate to HR Records → Organization Chart.

  2. Locate the unit you want to update.

  3. Click the Edit icon corresponding to the unit.

  4. Modify the required information.

  5. Click Save to apply the changes.

  6. Alternatively, click Close to cancel the changes.

Updated information will be reflected throughout the organizational structure.


Delete

To delete a unit:

  1. Navigate to HR Records → Organization Chart.

  2. Locate the unit you want to remove.

  3. Click the Delete icon corresponding to the unit.

  4. Review the confirmation message.

  5. Click OK to confirm the deletion.

  6. Click Cancel to abort the operation.

Warning

Deleting a unit may affect employee assignments, reporting relationships, job positions, and organizational reporting structures.


Export

To export organization chart or unit data:

  1. Open the Organization Chart screen.

  2. Click Export.

  3. Select the preferred export format if available.

  4. Download the exported file.

Exported data can be used for organizational planning, audits, and management reporting.


Field Descriptions

Field Description
Unit Name Name of the department, division, branch, or organizational unit.
Parent Unit Defines the unit's position within the organizational hierarchy.
Manager Person responsible for managing the unit, if applicable.
Description Additional details about the unit.
Status Indicates whether the unit is active or inactive.

Note: Available fields may vary depending on your organization's configuration.


View Chart

Purpose

The View Chart function provides a visual representation of the organization's structure.

This view helps administrators and managers understand reporting relationships, departmental hierarchies, and organizational layouts.


View Organizational Chart

To view the organizational chart:

  1. Navigate to HR Records → Organization Chart.

  2. Click View Chart.

  3. The system will display the organizational hierarchy in chart format.

  4. Browse through departments, units, and reporting structures as required.

The chart automatically reflects the latest organizational unit information maintained in the system.


Important Notes

  • Units created in the Organization Chart module are synchronized with the Departments screen in Setup → Support.

  • Changes made to organizational units may affect employee records, job positions, contracts, reports, and approval workflows.

  • The Organization Chart serves as a shared data source for multiple HR Records features.

  • Organizational units should be reviewed regularly to ensure they accurately reflect the company's structure.

  • The View Chart function provides a visual overview only and does not modify organizational data.

  • Deleting units should be performed carefully, especially when employees, job positions, or reporting relationships are linked to those units.
