On-Boarding Process

Purpose

This article explains how HR users configure and manage the On-Boarding Process in the Thulo RecruitEdge – Recruitment Management Module.

The On-Boarding Process is used to define step-by-step actions and communication that take place after a candidate is selected and before the candidate is transferred to HR Records.


Who This Is For

Required Permissions

  • Recruitment → Create

  • Recruitment → Edit

  • Recruitment → View (Global)


What the On-Boarding Process Is Used For

The On-Boarding Process is used to:

  • Define onboarding steps for selected candidates

  • Send structured onboarding instructions or messages

  • Prepare candidates before HR record transfer

  • Ensure consistency in post-selection communication

Onboarding steps help standardize how new hires are prepared to join the organization.


Where This Applies

Once configured, the On-Boarding Process applies to:

  • Selected candidates

  • Pre-HR transfer stage

  • Recruitment completion workflow

The onboarding process is completed before transferring a candidate to HR Records.


How To Create an On-Boarding Step

  1. Go to Recruitment → Settings → On-Boarding Process

  2. Click New Step

  3. Enter the Step Order

  4. Select the Recipient

  5. Enter Subject

  6. Write the On-Boarding Content or Instructions

  7. Attach documents if required

  8. Click Save

Multiple steps can be created to form a complete onboarding sequence.


How the On-Boarding Process Works

  • Steps are followed in the defined order

  • Each step represents an onboarding action or communication

  • HR users manage onboarding progress manually

  • Completion of onboarding prepares the candidate for HR transfer


Important Rules to Know

  • On-Boarding steps are configured by HR users

  • Steps apply only to selected candidates

  • On-Boarding does not create employee records

  • HR transfer must be done separately after onboarding


Best Practices

  • Keep onboarding steps simple and clear

  • Arrange steps in a logical sequence

  • Include required documents early in the process

  • Review onboarding content periodically


Common Mistakes to Avoid

  • Skipping onboarding before HR transfer

  • Using unclear or incomplete onboarding instructions

  • Forgetting to attach required documents

  • Creating too many unnecessary onboarding steps

Used when a candidate passes the interview and is transferred to the HR Profile Module. At that time, the system will automatically send an email in order to the candidate or employee in the company to notify the information.

Create On-Boarding Process 

To create an on Boarding Process:

  • Step 1. Go to the Recruitment module in the left sidebar and select Settings menu 
  • Step 2. Select On-Boarding Process menu -> Click New button.
  • Step 3. In the New step page, fill in the required details


    1. Enter the Order
    2. Select the Send to: Successful candidates, Staff or Department
    3. Select the Subject
    4. Enter the Content
  • Step 4Click Save button
    Example: Create a new Step -> Order value is 1 (order 1) -> Send to Successful candidate -> Save.
    And next create a new Step -> Order value is 2 (order 2) -> Send to Staff.
    When a candidate passes the interview and gets information, the system will automatically send an email to the first Successful candidate. First, then send an email to Staff.

Edit On-Boarding Process

    To edit the details of an On-Boarding Process:

    • Step 1. Go to the Recruitment module in the left sidebar and select Settings menu
    • Step 2. Select the On-Boarding Process menu ->  Select the on-Boarding Process need to be edited and click Edit button 

    • Step 3. Make the necessary changes and click Save button

    Delete On-Boarding Process

    • Step 1. Select the On-Boarding Process menu ->  Select the On-Boarding Process need to be deleted and click Delete button 

    • Step 2. Confirm your selection in the following pop-up. The On-Boarding Process will be deleted.
