Create Pickup and Approval

Purpose

This article explains how Pickups are created and approved in the Thulo Logistics Module.

A Pickup is a request to collect packages from a customer location. Pickups must be approved by staff before they can be converted into packages or shipments.


Who This Is For

  • Staff

  • Agents

  • Customers (creation only)


Required Permissions

  • Logistics → Pickup → Create

  • Logistics → Pickup → View

  • Logistics → Pickup → Approve (Staff / Agent)


When You Should Use This

Use Pickups when:

  • Packages need to be collected from a customer’s location

  • The logistics company does not receive packages directly at the office

Pickups are optional and depend on the business workflow.


What Happens Before This Step

Before a pickup is created:

  • Customer exists

  • Recipient exists

  • Admin has configured logistics settings

  • Staff permissions are assigned


Pickup Creation

Option A: Customer Creates a Pickup

Customers can request a pickup from the customer portal.

Customers provide:

  • Pickup address

  • Recipient or shipment reference

  • Preferred pickup time (if applicable)

After submission:

  • The pickup request becomes read-only for customers

  • Staff must review and approve it

Option B: Staff Creates a Pickup

Staff may create pickups on behalf of customers.

Staff enter:

  • Customer information

  • Pickup location

  • Package or shipment details

Pickup Approval (Staff Action)

Step 1: Review Pickup Request

Go to Logistics → Pickups and open the pending pickup request.

Review:

  • Customer details

  • Pickup location

  • Requested information

  • Current status


Step 2: Approve or Reject Pickup

Staff can:

  • Approve the pickup → proceeds to next steps

  • Reject the pickup → request is closed

Rejected pickups require re-submission by the customer or staff.


Step 3: Convert Approved Pickup

Once approved, the pickup can be:

  • Converted into a Locker Package, or

  • Converted directly into a Shipment

Only approved pickups are eligible for conversion.


What Happens After This Step

After pickup approval:

  • Package or shipment creation becomes available

  • Normal logistics workflow continues:

    • Invoicing

    • Payment

    • Processing

    • Delivery

Pickup approval does not complete delivery.


Important Rules to Know

  • Pickups require staff approval

  • Customers cannot approve pickups

  • Pickup status controls available actions

  • Rejected pickups cannot be processed further

  • Visibility depends on Own vs Global permissions


Common Mistakes to Avoid

  • Forgetting to approve pickups before processing

  • Expecting rejected pickups to be convertible

  • Creating duplicate pickups for the same request

  • Assigning drivers before approval

CREATE PICKUP

Employee and Customers can create pick up to convert to shipment. Here's how:

Step 1. Login customer portal --> select Logistic --> select Shipping. 

Or login admin portal --> select Logistic module --> select Pickup 

Step 2. Select Create Pickup button 

Step 3. In the Create Shipment, fill in the required field and package information --> then select Save

Step 4. Login admin portal --> select Pickup menu under the Logistics module --> select 

Step 5. Select Reject or Accept


If you select Accept --> the pickup will be approved and it will be transferred to the Shipping menu.

If you select Reject --> pickup will be rejected and still in the Pickup menu

 

UPDATE PICKUP

Customers can only update pickups with 2 states as below.
