OKR Check-In

Purpose

The OKR Check-In screen is used to update, monitor, and manage the progress of Objectives and Key Results (OKRs). It enables employees to report achievements, update Key Result progress, record confidence levels, submit supporting evidence, schedule future check-ins, and request approval when an OKR is completed.

Check-ins provide continuous visibility into OKR performance and support periodic reviews, progress tracking, and approval workflows.

Users can access and perform check-ins according to their assigned permissions.


Create

To submit an OKR check-in:

Step 1

Navigate to Check-In within the OKR Module from the left sidebar.

Step 2

Locate the required OKR and click CHECK-IN.

Step 3

Complete the required information.

Progress

Displays the current overall progress of the selected OKR.

Total Progress Chart

Displays a visual representation of progress history based on previous check-ins.

Key Results

Displays all Key Results associated with the selected OKR.

Plan

Displays the planned value or target defined when the Key Result was created.

Result

Displays the current actual result recorded for the Key Result.

Add Task

Allows users to create a task related to the corresponding Key Result.

Tasks created during check-in are automatically synchronized with the Tasks tab of the associated OKR.

View Tasks

Displays all tasks associated with the selected Key Result.

Target

Displays the target value defined for the Key Result.

Achieved

Enter the current achievement value.

The system automatically calculates and updates the corresponding progress percentage.

Confidence Level

Select the confidence level that best represents the likelihood of achieving the Key Result.

The system automatically calculates the average confidence level across all Key Results and displays it for the corresponding OKR.

Check-In Questions

Displays questions configured in Settings → Check-In Questions.

Users are encouraged to provide detailed responses to improve reporting quality and support the approval process.

Feedback Management

Displays evaluation and feedback options configured in Settings → Evaluation Criteria.

Managers and supervisors may use this information to provide feedback and evaluate progress.

Attachments

Upload supporting documents, reports, evidence, screenshots, or other files related to the reported progress.

Complete OKR

Enable this option when all Key Results have been completed and the OKR is ready for approval.

Step 4

Select the next review date in the Upcoming Check-In field.

The selected date must fall within the OKR cycle start date and end date.

Step 5

Select an approver in the Approver field if the approval process allows users to choose an approver.

If the approval process uses predefined approvers, the Approver field will not be displayed.

Step 6

Choose one of the following actions:

Action Description
Save Saves the check-in and submits it for review or approval.
Save Draft Saves the check-in as a draft without sending notifications to reviewers.
Close Cancels the operation and returns to the previous screen.

View

The Check-In screen displays:

  • Current OKR Progress

  • Progress History

  • Key Results

  • Plans and Targets

  • Actual Achievements

  • Confidence Levels

  • Check-In Responses

  • Feedback Records

  • Attachments

  • Upcoming Check-In Date

  • Approval Information


Approve

When a completed OKR is submitted for approval:

  1. The approver reviews the submitted progress.

  2. Supporting evidence and check-in information are evaluated.

  3. The approver approves the completion request.

Once approved:

  • The OKR status changes to Finished.

  • The OKR is considered fully completed.

  • No further check-ins are required.


Reject

If the submitted completion request is not approved:

  1. The approver rejects the request.

  2. The OKR remains active.

  3. Future check-ins must continue according to the planned schedule.

The employee may continue updating progress and submit the OKR for approval again later.


Workflow Rules

Child and Parent OKR Dependency

  • Parent OKRs depend on the progress of their child OKRs.

  • While a child OKR is awaiting progress updates, the parent OKR remains pending.

  • Parent OKRs cannot be approved until dependent child OKRs have been appropriately updated.

  • Updating the progress of a child OKR automatically impacts the progress of the parent OKR.

  • Updating the confidence level of a child OKR automatically affects the confidence level of the parent OKR.

Check-In Scheduling

  • Every check-in should include the next planned check-in date.

  • The upcoming check-in date must fall within the selected OKR cycle period.

Draft Check-Ins

  • Draft check-ins do not trigger notifications.

  • Drafts can be edited and completed later.

Completed OKRs

  • Selecting Complete OKR indicates that all Key Results have been completed.

  • The completion request enters the approval process.

  • Once submitted for approval, users can no longer update progress until the approval decision is made.


Status Behavior

Status Description
Draft Check-in information has been saved but not submitted.
In Progress The OKR is actively being tracked and updated.
Pending Approval The completed OKR has been submitted for approval.
Finished The OKR has been approved and completed.
Denied The approval request was rejected and additional progress updates are required.

Calculations

Progress Calculation

The system calculates OKR progress based on the achieved values entered for each Key Result.

Key Result Progress

Progress is updated automatically when users enter achievement values.

Parent OKR Progress

Changes made to child OKRs automatically update the progress of related parent OKRs.

Confidence Level Calculation

The system calculates the average confidence level from all Key Results and displays the resulting confidence level for the corresponding OKR.

Check-In data is synchronized with:

  • Objectives

  • Key Results

  • Parent OKRs

  • Child OKRs

  • Tasks

  • Approval Processes

  • Employees

  • Departments

  • Reports

  • Dashboards

  • Notifications

  • Activity Logs


Permissions

Permission Description
View Check-In Allows users to access authorized OKRs for check-in.
Check-In Company OKRs Allows users to perform check-ins on Company OKRs.
Check-In Department OKRs Allows users to perform check-ins on Department OKRs.
Approve Allows authorized approvers to approve completed OKRs.
Reject Allows authorized approvers to reject completion requests.

Important Notes

  • Parent OKRs cannot be approved while dependent child OKRs are awaiting progress updates.

  • Changes made to child OKRs automatically affect parent OKR progress and confidence calculations.

  • Once a completed OKR is submitted for approval, progress updates are locked until an approval decision is made.

  • Approved OKRs automatically move to the Finished status.

  • Denied OKRs remain active and must continue through the normal check-in process.

  • Upcoming check-in dates must always fall within the OKR cycle period.

  • Supporting attachments can be uploaded to provide evidence of progress and achievements.
