Purpose of Candidate Status

Candidate Status shows where a candidate currently stands in the recruitment process.
It helps HR teams track progress, manage next actions, and maintain clarity throughout hiring.

Each candidate moves through defined stages from application to selection or rejection.


Common Candidate Status Stages

A candidate typically moves through the following stages:

  • Applied
    The candidate has applied for a job or has been added to the system.

  • Shortlisted
    The candidate has passed initial screening and is selected for further review.

  • Interview Scheduled
    An interview has been planned for the candidate.

  • Selected
    The candidate has been chosen for hiring and is ready for onboarding.

  • Rejected
    The candidate is not proceeding further in the recruitment process.

Actual status names may vary based on system configuration.


How Candidate Status Is Updated

Candidate status can be updated by HR users when:

  • Reviewing applications

  • Scheduling interviews

  • Completing evaluations

  • Finalizing hiring decisions

Status updates are performed from the Candidate Profile.


Why Candidate Status Is Important

Candidate status helps to:

  • Track recruitment progress clearly

  • Avoid duplicate or missed actions

  • Coordinate interviews and evaluations

  • Support accurate reporting and decision-making

Status also affects which actions are available at each stage.


Status and Recruitment Actions

  • Candidates must be shortlisted before interviews are scheduled.

  • Only selected candidates should proceed to onboarding and HR transfer.

  • Rejected candidates remain in the system for reference but cannot move forward.

  • Update candidate status promptly after each recruitment step

  • Use consistent status meanings across all campaigns

  • Avoid transferring candidates to HR Records before marking them as selected

  • Candidate status does not delete or archive records

  • Status history remains available for reference

  • Status changes do not affect previously recorded evaluations or communication
