Payslip Templates
The Payslip Templates screen in Thulo HR Payroll is used to create and manage salary structures that define how employee payroll is calculated.
A Payslip Template contains payroll columns, formulas, and constants that determine employee earnings, deductions, taxes, insurance contributions, gross pay, net pay, and other payroll calculations.
The templates created on this screen are used when generating payroll records in the Payslips menu.
Create a New Payslip Template
Step 1: Open the Payslip Templates Screen

Navigate to Thulo HR → Payroll.

Select Payslip Templates.

Click Add.
Step 2: Configure the Template
The New Payslip Template screen will be displayed.

Enter the required template information.

Select the employees, departments, and payroll columns that will be included in the template.

Click Save.
Alternatively, click Close to cancel the operation without saving.
Field Descriptions
Columns Displayed in Payslip
The Select the Columns Displayed in Payslip field retrieves data from:
Payroll → Settings → Payroll Columns
Select the payroll columns that should be included in the payslip template.
Department Name
The Department Name field retrieves data from:
Setup → Support → Departments
Select the department(s) that will use this payslip template.
Staff
The Staff field retrieves employee data from:
Setup → Staff
Select the employees who will use this payslip template.
Except for Staff
The Except for Staff field retrieves employee data from:
Setup → Staff
Use this field to exclude specific employees from the selected payslip template.
Employee Assignment Rules
One Employee Per Payslip Template
An employee can only belong to one payslip template at a time.
Example
If Employee A is assigned to Payslip Template 1, the same employee cannot be assigned to Payslip Template 2.
Except for Staff Rule
Employees selected in the Except for Staff field are excluded from the template.
Example
If Employee B is assigned to the Except for Staff field:

Employee B cannot use this payslip template when payroll is generated.

A separate payslip template must be created and assigned to Employee B if payroll needs to be processed for that employee.
Configure Payslip Formulas
After creating the payslip template, the system automatically generates a worksheet containing all selected payroll columns.
Step 3: Define Payroll Calculations
The generated worksheet will display all selected payroll columns.

Review the available columns.

Enter formulas where required.

Enter constant values where applicable.

Click Save.
Result
The payroll calculation structure is saved and becomes available for payroll generation.
Payroll Column Types
Each payroll column has a specific calculation method.
System Columns
System columns automatically retrieve values from Payroll data.

Important
System columns cannot be edited manually within the payslip template.
The system automatically retrieves the values during payroll generation.
Formula Columns
Formula columns calculate values using payroll formulas.

Administrators must enter the appropriate formula for these columns.
Example Formula
Gross Pay = Basic Salary + Allowances + Commissions
The system calculates the value automatically when payroll is generated.
Constant Columns
Constant columns display fixed values.

Standard Adjustment
Administrators enter the desired constant value, which is applied during payroll calculations.
Additional Functions
Download
The Download function allows administrators to download the payroll worksheet for review or backup purposes.
Back
The Back function returns to the Payslip Templates list screen.
Edit Payslip Template Formulas
To modify payroll formulas within a template:
Step 1

Navigate to Payroll → Payslip Templates.

Locate the desired template.

Click View Details.
Step 2
The payroll worksheet will open.

Update the formula fields as required.
-
Click Save.
Result
The updated formulas will be used in future payroll calculations.
Edit a Payslip Template
To modify template information:
Step 1

Navigate to Payroll → Payslip Templates.

Locate the template you want to edit.
-
Click Edit.
Step 2
The Edit Payslip Template screen will be displayed.

Update the required information.
-
Click Save.
Alternatively, click Close to cancel the operation.
Result
The updated template configuration will be applied to future payroll processing.
Delete a Payslip Template
To remove a payslip template:

Navigate to Payroll → Payslip Templates.

Locate the template you want to delete.
-
Click Delete.
-
Confirm the deletion.
Result
The payslip template will be removed from the system.
Important Notes

Payslip Templates define how employee salaries are calculated.
-
Each employee can belong to only one payslip template.
-
Payroll columns included in the template are retrieved from the Payroll Columns configuration.
-
System columns automatically retrieve payroll data and cannot be edited manually.
-
Formula columns require payroll formulas to be configured.
-
Constant columns require fixed values to be entered.
-
Employees listed in Except for Staff are excluded from the template.
-
Payslip Templates are used directly when generating payroll records in the Payslips menu.
