Payroll Columns

The Payroll Columns screen in Thulo HR Payroll is used to create and manage payroll calculation columns that are used when building Payslip Templates.

Payroll columns represent the individual salary components that make up an employee's payslip, such as earnings, deductions, insurance contributions, gross pay, net pay, and custom calculated values.

The columns created on this screen become available when designing salary structures in the Payslip Templates screen.


Add a New Payroll Column

Step 1: Open the Payroll Columns Screen

  1. Navigate to Thulo HR → Payroll.

  2. Select Payroll Columns.

  3. Click Add.

Step 2: Configure the Payroll Column

  1. Enter the required information.

  2. Select the appropriate Taking Method.

  3. Configure the remaining settings.

  4. Click Save to create the payroll column.

Alternatively, click Close to cancel the operation without saving.


Taking Methods

The Taking Method determines how the payroll column value is generated during payroll calculations.

There are three available options:

1. Retrieve Payroll Column Data from the System

This option uses data already configured within the Payroll module.

Data Sources

The system retrieves values from:

  • Earnings List

  • Salary Deductions List

  • Insurance List

Example

When a payroll column is linked to an earning type such as Basic Salary or Overtime Pay, the system automatically retrieves the corresponding value during payroll processing.

Usage

When creating a Payslip Template, the payroll column will automatically use the selected system data source.


2. Create Payroll Column Data from a Formula

This option allows the payroll column value to be calculated using a custom formula.

Example Uses

  • Gross Pay

  • Taxable Income

  • Net Salary

  • Total Deductions

  • Employer Contributions

Usage

When using this method, a formula must be entered when configuring the payroll column within the Payslip Template.

The system will calculate the value automatically based on the formula provided.


3. Create Payroll Column Data from a Constant

This option uses a fixed value that does not change unless manually updated.

Example Uses

  • Fixed Allowances

  • Standard Benefits

  • Flat-Rate Contributions

  • Fixed Payroll Adjustments

Usage

When using this method, a constant value must be specified and will be used during payroll calculations.


Order Display in Payslip

The Order Display in Payslip field determines the position of the payroll column when it appears in the Payslip Template designer.

Example

Display Order Result
1 Displayed first
2 Displayed second
10 Displayed after lower-numbered columns

The smaller the number, the earlier the column appears in the selection list when creating Payslip Templates.


Edit a Payroll Column

To modify an existing payroll column:

  1. Navigate to Payroll → Payroll Columns.

  2. Locate the payroll column you want to edit.

  3. Click the Edit icon corresponding to that record.

  4. Update the required information.

  5. Click Save.

Result

The updated configuration will be used in future payroll calculations and Payslip Templates.


Delete a Payroll Column

To delete a payroll column:

  1. Navigate to Payroll → Payroll Columns.

  2. Locate the payroll column you want to remove.

  3. Click the Delete icon corresponding to that record.

  4. Confirm the deletion.

Result

The payroll column will be removed from the system.


Important Notes

  • Payroll Columns are the building blocks used to create salary structures in Payslip Templates.

  • Columns created using System Data automatically retrieve values from Earnings, Salary Deductions, and Insurance records.

  • Columns created using Formulas allow advanced payroll calculations such as Gross Pay, Taxable Income, and Net Salary.

  • Columns created using Constants use fixed values during payroll calculations.

  • Only user-created payroll columns can be deleted.

  • Default system payroll columns cannot be deleted, but they can be edited if necessary.
