Timesheet Settings

Purpose

The Timesheet Settings screen allows administrators to define how employee attendance and working hours are recorded within the Thulo Attendance & Leave Management module.

Organizations can choose a single timekeeping method and assign it to specific employee roles. The selected method determines how attendance data is captured, processed, and displayed throughout the system.

Thulo supports three timekeeping methods:

  • Manual Timesheets

  • Timesheets by Tasks

  • Import Timesheets from CSV/Excel Files

Only one timekeeping method can be active at a time for the selected roles.


Create

To configure a timekeeping method:

Step 1: Open Timesheet Settings

  1. Navigate to Timesheets & Leave from the left sidebar.

  2. Open Settings.

  3. Select Timesheet Settings.

Step 2: Select a Timekeeping Method

Choose one of the following timesheet forms:

  • Manual Timesheets

  • Timesheets by Tasks

  • Import Timesheets from CSV/Excel Files

Step 3: Select Applicable Roles

  1. Select the employee role(s) that will use the chosen timekeeping method.

  2. Review the selected roles before saving.

Step 4: Save

  1. Click Save to apply the configuration.

The selected timekeeping method will become active for all assigned roles.


View

Administrators can view the currently configured timekeeping method and the employee roles assigned to it.

The system displays the active attendance collection method that is being used for attendance processing and working hour calculations.


Edit

To modify an existing timesheet configuration:

Step 1: Open Timesheet Settings

  1. Navigate to Timesheets & Leave → Settings → Timesheet Settings.

Step 2: Update Configuration

  1. Select a different timesheet form if required.

  2. Update the applicable employee roles.

Step 3: Save Changes

  1. Click Save.

The updated settings will immediately apply to the selected roles.


Field Descriptions

Field Description
Timesheet Form Determines the method used to record attendance and calculate working hours.
Manual Timesheets Attendance is recorded through employee check-in and check-out actions.
Timesheets by Tasks Working hours are calculated based on time entries recorded against tasks.
Import Timesheets from CSV/Excel Files Attendance records are imported from CSV or Excel files instead of being recorded directly in the system.
Applicable Object Defines the employee role(s) to which the selected timekeeping method will apply.
Role Employee role that will use the selected timesheet method.

Workflow Rules

Timekeeping Method Rules

  • Only one timekeeping method can be active at a time for the selected roles.

  • Employees assigned to a role will follow the timekeeping method configured for that role.

  • Attendance calculations depend on the selected timesheet form.

Manual Timesheets Rules

When Manual Timesheets is selected:

  • The Attendance screen displays Check-In and Check-Out buttons.

  • Employees record attendance directly within the system.

  • Working hours are calculated based on recorded check-in and check-out times.

  • Attendance data is stored in the attendance records for reporting and payroll processing.

Available check-in and check-out methods include:

  • Work Route Check-In/Check-Out

  • Workplace Check-In/Check-Out

  • QR Code Check-In/Check-Out

Check-In / Check-Out Behavior

For Manual Timesheets:

  • Employees must check in at the beginning of their work period.

  • Employees must check out at the end of their work period.

  • The system uses recorded timestamps to calculate attendance duration.

  • Attendance records become available for attendance reports and payroll calculations.

Timesheets by Tasks Rules

When Timesheets by Tasks is selected:

  • Attendance is generated from task-based timesheet entries.

  • Employees record time directly against assigned tasks.

  • The system calculates working hours using task time logs.

  • Check-in and check-out actions are not used for attendance calculation.

  • Total worked hours are derived from approved or recorded task timesheets.

Task-Based Attendance Processing

  • Time entered on tasks contributes to employee working hours.

  • Task timesheets are used as the primary source for attendance calculations.

  • Attendance reports reflect task-based working time.

Import Timesheets Rules

When Import Timesheets from CSV/Excel Files is selected:

  • The Attendance screen displays an Import Timesheets button.

  • Attendance records are uploaded through supported CSV or Excel files.

  • Imported records become the source of attendance data.

  • Attendance calculations are based on the imported information.

Attendance Processing Rules

  • Imported records are processed and stored as attendance entries.

  • Attendance reports use imported attendance information.

  • Imported attendance data can be used for payroll and reporting purposes.

Employee Assignment Rules

  • Timekeeping methods are assigned at the role level.

  • All employees belonging to the selected role follow the configured attendance method.

  • Changes to the assigned method affect all employees within the selected role.

Payroll Integration Behavior

  • Attendance data generated through any timekeeping method can be used for payroll calculations.

  • Working hours calculated from attendance records, task entries, or imported files are available for payroll processing.

Reporting Behavior

  • Attendance reports reflect the active timekeeping method.

  • Working hour calculations vary depending on the selected attendance source.

  • Attendance summaries use attendance records generated from the configured method.


Synchronization

Data configured in this screen is synchronized with:

  • Attendance Management

  • Employee Management

  • Shift Scheduling

  • Task Management

  • Attendance Reports

  • Employee Attendance History

  • Payroll Processing

Changes to timesheet settings are reflected throughout all related attendance and reporting functions.


Important Notes

  • Only one timekeeping method can be active at a time for a selected role.

  • Administrators should carefully choose the timekeeping method that best matches organizational attendance policies.

  • Switching between attendance methods may impact future attendance calculations and reporting.

  • Employees must use the attendance process associated with their assigned role.

  • Imported attendance files should follow the organization's approved import format.

  • Task-based attendance requires employees to accurately record time against tasks.

  • Manual attendance requires employees to complete check-in and check-out actions to ensure accurate working hour calculations.

  • Attendance data generated through any method may be used by reporting and payroll processes.
