Holidays
Purpose
The Holidays screen allows administrators to define organization-wide or targeted non-working days within the Thulo Attendance & Leave Management module.
Holiday records are used to identify days on which employees are not expected to work and are displayed on attendance timesheets using predefined attendance symbols.
The system supports three holiday categories:

Holiday (HO) – Official public holidays or company-wide holidays.

Event Break (EB) – Planned organizational events, celebrations, or special occasions resulting in time off.

Unexpected Break (UB) – Unplanned non-working days caused by emergencies, disruptions, or unforeseen circumstances.
Holiday data is integrated with attendance management, shift scheduling, leave tracking, and attendance reporting.
Create
To create a new holiday:
Step 1: Open Holidays

Navigate to Timesheets & Leave from the left sidebar.

Click Settings.

Select Holidays.
Step 2: Create a New Holiday

Click the New button.
-
The New Holiday window will appear.
Step 3: Enter Holiday Information

Select the Days Off date.
-
Select the Leave Type.

Enter the Reason for Time Off.

Select the applicable Department (optional).

Select the applicable Role (optional).

Enable Automatically Repeat by Year if the holiday should recur annually.
Step 4: Save

Click Save.
The holiday will be added to the holiday calendar and applied according to the selected criteria.
View
The Holidays list displays all configured holidays, event breaks, and unexpected breaks.
Administrators can review holiday schedules, applicable departments and roles, recurring settings, and holiday reasons.
Edit
To modify an existing holiday:
Step 1: Open Holidays

Navigate to Timesheets & Leave → Settings → Holidays.
Step 2: Select a Holiday

Locate the holiday record you want to modify.

Click Edit.
Step 3: Update Information

Modify the required fields.

Review the changes.
Step 4: Save Changes

Click Save.
The updated holiday configuration will be applied immediately.
Delete
To remove a holiday:
Step 1: Open Holidays

Navigate to Timesheets & Leave → Settings → Holidays.
Step 2: Select a Holiday

Locate the holiday record you want to delete.

Click Delete.
Step 3: Confirm Deletion

Review the confirmation message.

Confirm the deletion.
The holiday will be removed from the system.
Field Descriptions
| Field | Description |

| Days Off | The date designated as a non-working day. |
| Leave Type | Defines the category of the non-working day: Holiday, Event Break, or Unexpected Break. |
| Reason for Time Off | Explanation or description of the holiday or non-working event. |
| Department | Optional restriction that limits the holiday to employees within a specific department. |
| Role | Optional restriction that limits the holiday to employees assigned to a specific role. |
| Automatically Repeat by Year | When enabled, the holiday is automatically recreated each year on the same date. |
Workflow Rules
Holiday Types
The system supports the following holiday categories:

Holiday Assignment Rules

Holidays can be applied organization-wide or restricted to specific departments and roles.

If no department or role is selected, the holiday applies to all employees.

Employees matching the selected department or role will be affected by the holiday.
Attendance Status Logic
Holiday information is displayed on employee attendance timesheets.
Employee Has a Scheduled Shift
If:

The employee has a work shift scheduled on the holiday date
Then:

The corresponding holiday symbol is displayed on the attendance table.
Examples:

Holiday → HO

Event Break → EB

Unexpected Break → UB
Employee Has No Scheduled Shift
If:

The holiday falls on a day where no shift is assigned to the employee
Then:

The system displays NS (No Shift) on the attendance table.
The No Shift status takes precedence when no shift assignment exists.
Shift Assignment Logic

Holiday records do not automatically create or remove employee shifts.
-
Existing shift schedules remain unchanged.

The attendance table reflects holiday status based on both holiday configuration and shift assignments.
Leave Request Workflow

Holidays are treated as designated non-working days and are available for attendance and leave calculations.

Employees can view holidays through attendance-related screens and reports.
Recurring Holiday Rules
When Automatically Repeat by Year is enabled:

The system automatically recreates the holiday each year on the same calendar date.

Administrators do not need to manually create the holiday for future years.
When disabled:

The holiday applies only to the specified date.
Attendance Processing Rules

Holiday records are incorporated into attendance calculations.

Attendance tables display the appropriate holiday symbol according to the configured holiday type.

Holiday information is available in attendance reports and employee attendance history.

Holidays can be configured for the entire organization or limited to specific departments and roles.

The holiday symbol displayed on the attendance table depends on the selected holiday type.

If an employee does not have a scheduled shift on a holiday date, the attendance table displays NS (No Shift) instead of the holiday symbol.

Recurring holidays automatically repeat each year on the same date when the repeat option is enabled.

Deleting a holiday removes it from attendance calendars, reports, and future attendance processing.

Administrators should carefully review recurring holidays annually to ensure dates remain accurate and applicable.
