Attendance & Leave Reports

Purpose

The Attendance & Leave Reports screen provides comprehensive reporting and analytics for employee attendance, leave management, route attendance, workplace attendance, and working hour statistics.

These reports help HR administrators, managers, and business leaders monitor workforce attendance, employee leave usage, route completion, workplace utilization, and overtime trends.

The reporting module consolidates data from Attendance, Leave Management, Work Routes, Workplaces, Additional Work Hours, and Shift Scheduling into actionable reports and visual dashboards.


Annual Leave Report

Purpose

The Annual Leave Report provides a monthly summary of employee annual leave usage within a selected reporting period.

This report helps organizations:

  • Monitor annual leave consumption

  • Track leave balances

  • Review leave trends

  • Support workforce planning


View

  1. Navigate to Timesheets & Leave → Reports.

  2. Select Annual Leave Report.

  3. Select the desired reporting period.

  4. Generate the report.

The system displays annual leave usage by employee and month.


Field Descriptions

Field Description
Employee Employee included in the report.
Month Reporting month.
Annual Leave Used Number of annual leave days used during the month.
Reporting Period Selected date range for the report.

Workflow Rules

  • Annual leave calculations are based on approved leave requests.

  • Leave balances are calculated according to configured leave norms.

  • Only approved annual leave records are included.

Attendance Report

Purpose

The Attendance Report summarizes employee attendance activity within a selected period.

The report provides workforce attendance statistics, including working days, scheduled days, and leave days.


View

  1. Navigate to Timesheets & Leave → Reports.

  2. Select Attendance Report.

  3. Choose the reporting period.

  4. Generate the report.


Field Descriptions

Field Description
Employee Employee included in the report.
Total Days with Shift Number of days the employee was assigned a shift.
Working Days Number of attendance days successfully recorded.
Days Off Number of days not worked.
Leave Type Leave category associated with days off.

Workflow Rules

  • Shift schedules determine scheduled working days.

  • Attendance records determine actual working days.

  • Leave requests and holidays affect attendance calculations.

Leave Application Report

Purpose

The Leave Application Report provides a list of approved employee leave requests.

  3. Generate the report.


Field Descriptions

Field Description
Employee Employee who submitted the leave request.
Leave Type Approved leave category.
From Date Leave start date.
To Date Leave end date.
Status Approval status.

Workflow Rules

  • Only approved leave requests are displayed.

  • Cancelled or rejected requests are excluded.

Check-In/Check-Out History Report

Purpose

The Check-In/Check-Out History Report provides a detailed audit trail of employee attendance activities.

The report allows organizations to review employee attendance behavior and attendance validation history.

  2. Select Check-In/Check-Out History.

  3. Generate the report.


Field Descriptions

Field Description
Employee Employee who performed attendance activity.
Check-In Time Recorded check-in timestamp.
Check-Out Time Recorded check-out timestamp.
Attendance Method Method used for attendance.
Attendance Location Location where attendance occurred.

Workflow Rules

  • Every successful attendance transaction is recorded.

  • Records remain available for attendance auditing and reporting.

Route Attendance Progress Report

Purpose

The Route Attendance Progress Report tracks employee completion progress for assigned route points.

This report is used to monitor field workforce activity and route completion performance.

  2. Select Route Attendance Progress.

  3. Generate the report.


Field Descriptions

Field Description
Completed Route Points Number of route points where both check-in and check-out have been completed.
Total Route Points Total route points assigned to the employee.
Progress Percentage Completion percentage based on assigned route points.

Workflow Rules

Progress Calculation

The report displays:

Completed Route Points / Total Route Points / Completion Percentage

Example:

3 / 5 / 60%

Meaning:

  • 3 route points completed

  • 5 route points assigned

  • 60% route completion achieved

Route Completion Rules

A route point is considered completed only when:

  • Check-in is completed

  • Check-out is completed

Check-In/Check-Out Progress Report

Purpose

The Check-In/Check-Out Progress Report tracks attendance completion status at route points.

This report helps identify incomplete attendance activities.

  1. Navigate to Timesheets & Leave → Reports.

  2. Select Check-In/Check-Out Progress.

  3. Generate the report.


Workflow Rules

Check-In Only

Displayed when:

  • Employee has completed Check-In.

  • Check-Out has not yet been completed.

Check-In and Check-Out Completed

Displayed when:

  • Employee has completed both Check-In and Check-Out.

This allows managers to identify incomplete attendance activities.

Working Hours Statistics Report

Purpose

The Working Hours Statistics Report provides departmental statistics for approved Additional Work Hours.

This report helps organizations monitor overtime and supplemental work activities.

  2. Select Working Hours Statistics.

  3. Generate the report.


Field Descriptions

Field Description
Department Department included in the report.
Additional Work Hours Total approved additional hours.
Overtime Hours Approved overtime hours.

Workflow Rules

  • Only approved Additional Work Hours are included.

  • Statistics are grouped by department.

  • Deleted records are excluded.

Leave by Type Report

Purpose

The Leave by Type Report provides statistical analysis of leave activity across all employees.

The report includes:

  • Leave

  • Late for Work

  • Go Home Early

Field Description
Leave Type Type of leave or attendance exception.
Total Requests Number of requests submitted.
Total Days Total days or occurrences recorded.

  • Only approved records are included in statistics.

  • Data is grouped by leave type.

Leave by Department Report

Purpose

The Leave by Department Report provides leave statistics grouped by department.

Field Description

Workplace Check-In/Check-Out Ratio Report

Purpose

The Workplace Check-In/Check-Out Ratio Report provides statistical analysis of attendance activity across workplace locations.

This report helps organizations understand workplace utilization and attendance distribution across multiple work locations.

  1. Navigate to Timesheets & Leave → Reports.

  2. Select Workplace Check-In/Check-Out Ratio.

  3. Generate the report.


Field Descriptions

Field Description
Workplace Workplace location.
Total Check-Ins Number of check-ins recorded at the workplace.
Total Check-Outs Number of check-outs recorded at the workplace.
Attendance Ratio Percentage of attendance activity attributed to the workplace.

Workflow Rules

  • Statistics are generated from workplace-based attendance records.

  • Attendance activities are grouped by workplace.

  • Check-in and check-out activity contributes to workplace utilization calculations.

Export

All reports within the Attendance & Leave Reports module may be exported according to user permissions and system configuration.

Export formats may include:

  • Excel (XLSX)

  • CSV

  • PDF


Important Notes

  • Report visibility depends on user permissions.

  • Global report permissions allow access to organization-wide data.

  • Attendance and leave reports are generated using approved and validated records.

  • Report data updates automatically when attendance, leave, route, workplace, or overtime records change.

  • Deleted records are excluded from statistical calculations.

  • Route progress calculations require both check-in and check-out to be completed at a route point.

  • Workplace attendance statistics are generated only from workplace-based attendance activities.

  • Attendance reports may be used for payroll, workforce planning, compliance, and management reporting purposes.
