Stages Menu in Marketing Automation

Stages

Purpose

The Stages screen is used to define and manage the progression stages that Leads move through during marketing and nurturing activities.

Stages typically represent a marketing funnel or customer journey, allowing organizations to track how Leads progress from initial engagement to qualification and conversion.

As Leads interact with campaigns, workflows, emails, SMS messages, forms, and other marketing activities, they can be automatically moved from one Stage to another.

The Stage data created in this screen is used within Campaigns and Workflow Automation to manage Lead progression and qualification.

Examples of common stages include:

  • New Lead

  • Engaged Lead

  • Marketing Qualified Lead (MQL)

  • Sales Qualified Lead (SQL)

  • Opportunity

  • Customer


Create

To create a new Stage:

  1. Navigate to Marketing Automation → Stages.

  2. Click Add.

  3. Complete the required fields.

  4. Click Save.

Alternatively:

  • Click Back to cancel and return to the previous screen.

The new Stage becomes available for use in Campaign workflows and Lead management processes.


View

To view a Stage:

  1. Navigate to Marketing Automation → Stages.

  2. Locate the Stage.

  3. Click View.

The Stage details screen displays:

  • Stage information

  • Statistics

  • Lead activity

  • Campaign usage


Edit

To edit an existing Stage:

  1. Navigate to Marketing Automation → Stages.

  2. Locate the Stage.

  3. Click Edit.

  4. Modify the required information.

  5. Click Save.

Changes are applied immediately and will affect future campaign processing and Lead progression.


Delete

To delete a Stage:

  1. Navigate to Marketing Automation → Stages.

  2. Locate the Stage.

  3. Click Delete.

  4. Confirm the deletion.

The Stage is permanently removed from the system.


Field Descriptions

Field Description
Name Name of the Stage. Use a clear and descriptive name that reflects the Lead's position in the marketing funnel.
Weight Defines the progression order of the Stage. Higher values represent more advanced stages in the funnel.
Color Visual identifier used for sorting, filtering, and quick recognition.
Category Category assigned to the Stage. Data is retrieved from the Category configuration.
Description Detailed explanation of the criteria or qualifications required for a Lead to belong to this Stage.

Workflow Rules

Stage Progression

Stages are designed to represent a forward-moving Lead journey.

The Weight field determines the order of progression.

Example:

Stage Weight
New Lead 10
Engaged Lead 20
Qualified Lead 30
Opportunity 40
Customer 50

In this example:

  • Leads can move from Weight 10 to Weight 20.

  • Leads can move from Weight 20 to Weight 30.

  • Leads can continue progressing to higher-weight stages.

Stage Movement Restrictions

A Lead cannot be moved to a Stage with a lower Weight value.

For example:

  • A Lead in a Stage with Weight 40 cannot move back to a Stage with Weight 20.

  • Progression is always forward through the funnel.

This rule ensures consistent Lead qualification and lifecycle management.

Campaign Integration

Stages are commonly used within Campaign workflows.

Campaign actions can:

  • Add Leads to a Stage

  • Move Leads to a new Stage

  • Track Lead progression

  • Trigger automation based on Stage changes

Lead Qualification

Stages help marketing and sales teams:

  • Monitor Lead maturity

  • Measure engagement levels

  • Identify qualified prospects

  • Track conversion performance


Statistics

Summary Statistics

The Statistics tab provides key performance metrics for the selected Stage.

Metric Description
Total Number of Leads Total Leads currently assigned to the Stage.
Number of Active Campaigns Total active campaigns currently using the Stage and within their valid date range.
Number of Campaigns Participated Total completed or expired campaigns that previously used the Stage.

Leads Over Time

The Leads Over Time chart displays:

  • Leads added to the Stage

  • Leads removed from the Stage

  • Historical Stage activity trends

This helps analyze Lead movement and funnel performance over time.


Stage Statistics by Campaign

The Stage Statistics by Campaign chart displays campaign activity associated with the selected Stage.

Statistics are calculated from campaigns that use the corresponding Stage within their workflow configuration.


Leads

The Leads tab displays all Leads currently assigned to the selected Stage.

Available information includes:

  • Lead details

  • Campaign participation

  • Current Stage assignment

  • Lead score

Lead Score

The Point column displays the Lead's total accumulated score after campaign execution.

The score is calculated from:

  • Action Points

  • Change Points

  • Marketing Automation scoring activities

This score helps measure Lead engagement and qualification.


Important Notes

  • Stages are typically used to represent a Lead qualification funnel.

  • Weight values determine the order of progression through the funnel.

  • Leads cannot move to Stages with lower Weight values.

  • Stages are commonly referenced within Campaign workflows.

  • Carefully plan Stage structures before implementing marketing automation processes.

  • Changes to Stage configurations may affect campaign behavior and Lead progression.

  • Statistics are updated automatically based on campaign activity and Lead movement.

  • Deleting a Stage may impact Campaigns and Leads that currently reference the Stage.

  • It is recommended to define clear qualification criteria within the Description field to ensure consistent usage across teams.
