IP Whitelisting

Purpose

The IP Whitelisting screen allows administrators to restrict employee check-in and check-out activities to approved network IP addresses.

When IP Whitelisting is enabled, the system validates the employee's public IP address during attendance operations. Only devices connected through approved IP addresses can successfully perform check-in and check-out actions.

This feature is commonly used to ensure that attendance can only be recorded from authorized locations such as offices, branches, factories, warehouses, or other approved workplaces.


Create

To configure IP Whitelisting:

Step 1: Open IP Whitelisting

  1. Navigate to Timesheets & Leave from the left sidebar.

  2. Click Settings.

  3. Select IP Whitelisting.

Step 2: Obtain Your Public IP Address

  1. Open the following website:

    https://www.whatismyip.com/

  2. Note the displayed IPv4 Address.

Step 3: Configure Allowed IP Addresses

  1. Enter the approved IP address(es) in the IP Allowlisting section.

  2. Review the entered IP addresses for accuracy.

Step 4: Enable IP Validation

  1. Enable Check IP Whitelist.

Step 5: Save

  1. Click Save.

The configured IP addresses will be used to validate future attendance activities.


View

Administrators can view all approved IP addresses configured for attendance validation.

The list serves as the organization's authorized network locations for employee check-in and check-out activities.


Edit

To update an approved IP address:

Step 1: Open IP Whitelisting

  1. Navigate to Timesheets & Leave → Settings → IP Whitelisting.

Step 2: Update IP Information

  1. Modify the existing IP address list as required.

  2. Enable or disable IP validation settings if necessary.

Step 3: Save Changes

  1. Click Save.

The updated configuration will immediately apply to future attendance activities.


Delete

To remove an approved IP address:

Step 1: Open IP Whitelisting

  1. Navigate to Timesheets & Leave → Settings → IP Whitelisting.

Step 2: Remove the IP Address

  1. Locate the IP address you want to remove.

  2. Delete the entry from the allowlist.

Step 3: Save Changes

  1. Click Save.

The removed IP address will no longer be authorized for attendance validation.


Field Descriptions

Field Description
IP Allowlisting List of approved public IP addresses permitted to perform attendance check-in and check-out operations.
Enable Check IP Whitelist Enables or disables IP address validation during attendance activities.
IPv4 Address Public network IP address used to identify authorized attendance locations.

Workflow Rules

Attendance Validation Rules

When IP Whitelisting is enabled:

  1. An employee attempts to check in or check out.

  2. The system detects the employee's public IP address.

  3. The detected IP address is compared against the approved IP Allowlisting list.

  4. The system validates the attendance request.

Approved IP Behavior

If the employee's IP address exists in the IP Allowlisting list:

  • Check-in is permitted.

  • Check-out is permitted.

  • Attendance is recorded successfully.

Restricted IP Behavior

If the employee's IP address is not included in the IP Allowlisting list:

  • Attendance validation fails.

  • Check-in is denied.

  • Check-out is denied.

  • The system displays an Access Denied message.

Disabled IP Validation Rules

When Enable Check IP Whitelist is disabled:

  • The system does not validate employee IP addresses.

  • Attendance can be recorded from any network location.

  • All devices can perform check-in and check-out without IP restrictions.

Check-In / Check-Out Behavior

  • IP validation occurs during every attendance transaction.

  • Attendance records are only created after successful IP verification when whitelisting is enabled.

  • Failed IP validation prevents attendance records from being generated.

Employee Assignment Rules

  • IP Whitelisting is applied globally to attendance validation.

  • All employees are subject to the configured IP validation rules when the feature is enabled.

Security Rules

  • Only IP addresses explicitly configured in the allowlist are authorized.

  • Unauthorized networks cannot be used to record attendance.

  • IP Whitelisting provides an additional layer of attendance security and location control.

Synchronization

Data configured in this screen is synchronized with:

  • Attendance Management

  • Employee Check-In

  • Employee Check-Out

  • Attendance Validation Engine

  • Workplace Attendance Controls

  • Attendance Reports

  • Employee Attendance History

  • Security and Access Controls

Changes to the IP allowlist are applied immediately to attendance validation processes.


Important Notes

  • IP Whitelisting applies only to attendance check-in and check-out validation.

  • Employees must connect through an approved network when IP validation is enabled.

  • Public IP addresses may change periodically depending on the internet service provider.

  • Administrators should verify public IP addresses whenever network infrastructure changes occur.

  • Incorrectly configured IP addresses may prevent employees from recording attendance.

  • Disabling IP Whitelisting removes all network-based attendance restrictions.

  • IP validation is performed at the time of each attendance transaction.

  • Organizations with multiple office locations should ensure all authorized public IP addresses are added to the allowlist.

  • IP Whitelisting is recommended for organizations that require attendance to be recorded only from approved workplace locations.
