Go Out Request

Purpose

The Go Out Request feature allows employees to request permission to leave the workplace during working hours for official or personal reasons.

This request type is used when an employee needs to be temporarily absent from the workplace without taking a full day of leave. Examples may include attending meetings, visiting government offices, handling urgent personal matters, attending appointments, or performing work-related activities outside the office.

Go Out Requests follow the organization's approval workflow and provide managers with visibility into employee availability during working hours.


Create

Prerequisites

Before creating a Go Out Request:

  1. The employee must have one of the following permissions:

    • Leave - View

    • Leave - View (Global)

  2. An approval workflow should be configured if approval is required by the organization.


Create a Go Out Request

Step 1: Open Leave Management

  1. Navigate to Timesheets & Leave from the left sidebar.

  2. Select Leave.

  3. Click Apply For Leave.

Step 2: Complete the Request

In the Apply For Leave window:

  1. Enter the Subject.

  2. Select Go Out as the request type.

  3. Select the From Date.

  4. Select one or more Followers.

  5. Enter the Reason.

  6. Upload any supporting Attachment files if required.

Step 3: Save

  1. Click Save.

The Go Out Request is created and submitted for approval.


View

Employees, managers, and administrators can view Go Out Requests according to their assigned permissions.

Users may review:

  • Request subject

  • Request date

  • Reason for going out

  • Approval status

  • Assigned followers

  • Supporting attachments


Edit

To modify a Go Out Request:

Step 1: Open Leave Requests

  1. Navigate to Timesheets & Leave → Leave.

Step 2: Select a Request

  1. Locate the Go Out Request.

  2. Click Edit.

Step 3: Update Information

  1. Modify the required details.

  2. Review the changes.

Step 4: Save Changes

  1. Click Save.

The updated request continues through the approval workflow.


Delete

To remove a Go Out Request:

Step 1: Open Leave Requests

  1. Navigate to Timesheets & Leave → Leave.

Step 2: Select a Request

  1. Locate the request to be deleted.

  2. Click Delete.

Step 3: Confirm Deletion

  1. Review the confirmation message.

  2. Confirm the deletion.

The request will be removed from the system.


Approve

Approve a Go Out Request

  1. Open the pending request.

  2. Review the request details and attachments.

  3. Verify the request information.

  4. Click Approve.

Once approved:

  • The request is marked as Approved.

  • The employee's absence is formally authorized according to company policy.


Reject

Reject a Go Out Request

  1. Open the pending request.

  2. Review the request details.

  3. Click Reject.

The request is marked as Rejected and is not considered approved time away from the workplace.


Field Descriptions

Field Description
Subject Brief title describing the purpose of the request.
Type Request category. Select Go Out.
From Date Date on which the employee intends to go out.
Follower User(s) who are copied or notified regarding the request.
Reason Explanation for the temporary absence from the workplace.
Attachment Supporting documents related to the request.
Approval Status Current status of the request within the approval workflow.

Workflow Rules

Go Out Request Rules

  • Go Out Requests are submitted through the Leave Management module.

  • Requests may require approval depending on organizational policies.

  • Employees must provide sufficient information to support the request.

Leave Request Workflow

  1. Employee creates the request.

  2. Request is submitted.

  3. Approver reviews the request.

  4. Request is approved or rejected.

  5. Request status is updated accordingly.

Approval Workflow Rules

  • Requests remain in Pending status until reviewed.

  • Approved requests become authorized absences.

  • Rejected requests are not approved for absence.

Employee Assignment Rules

  • Employees can create requests based on their assigned permissions.

  • Users with global permissions may view and manage requests across the organization.

Notification Rules

Notifications may be sent:

  • When a request is submitted.

  • When a request is approved.

  • When a request is rejected.

  • To assigned followers.

Notification behavior depends on the organization's workflow and notification settings.

Attendance Processing Rules

  • Go Out Requests are recorded within the Leave Management process.

  • Attendance handling and absence calculations follow the organization's configured attendance and approval policies.

  • Only approved requests are considered authorized.

Document Management Rules

  • Supporting files can be attached to provide additional justification or documentation.

  • Attachments remain associated with the request record for future reference.


Status Behavior

Go Out Request Status

Status Description
Pending Request has been submitted and is awaiting review.
Approved Request has been approved.
Rejected Request has been rejected.
Cancelled Request has been withdrawn or cancelled, if supported by organizational policy.

Synchronization

Data created in this screen is synchronized with:

  • Leave Management

  • Approval Workflows

  • Employee Self-Service Portal

  • Employee Management

  • Attendance Management

  • Workforce Reports

  • Notification System

Approved requests are reflected throughout related leave and employee management processes.


Important Notes

  • Employees must have Leave-related permissions before creating Go Out Requests.

  • The Go Out request type should be selected when employees need temporary permission to leave the workplace during working hours.

  • Approval requirements depend on the organization's configured workflow.

  • Supporting documents may be attached to provide additional information or justification.

  • Followers receive visibility into the request but do not necessarily participate in the approval process.

  • Approved requests serve as an official record of authorized absence from the workplace.

  • Organizations should establish clear policies regarding when Go Out Requests are required.

  • Deleting a request permanently removes it from the system and related approval records.
