Attendance (Route-Based)

Purpose

The Route-Based Attendance screen allows employees to perform check-in and check-out activities using assigned work routes and route points.

This attendance method is designed for mobile employees who work outside fixed office locations, such as sales representatives, field technicians, delivery personnel, and service teams.

When Route-Based Attendance is enabled, the system validates the employee's location against assigned route points before allowing attendance to be recorded.

Attendance records created through this process are used for:

  • Attendance tracking

  • Working hour calculations

  • Route compliance monitoring

  • Employee activity verification

  • Attendance reporting

  • Payroll-related attendance calculations

Employees must use a GPS-enabled mobile device to perform route-based attendance.


Create

Prerequisites

Before employees can use Route-Based Attendance, the following configuration must be completed:

  1. Manual Timesheets must be enabled.

  2. Allow Attendance by Route must be enabled.

  3. Route Points must be created.

  4. A Work Route must be assigned to the employee.

  5. GPS services must be enabled on the employee's mobile device.

Employee Check-In

Step 1: Open Attendance

  1. Navigate to Timesheets & Leave from the left sidebar.

  2. Select Attendance.

Step 2: Start Attendance

  1. Click the Check-In / Check-Out button.

Step 3: Select Route Point (If Applicable)

Depending on the route configuration:

  • Select a route point if route selection is allowed.

  • Follow the assigned route sequence if route ordering is enforced.

Step 4: Record Attendance

  1. Click Check-In.

The system validates the employee's location and records attendance if validation is successful.

Employee Check-Out

Step 1: Open Attendance

  1. Navigate to Timesheets & Leave → Attendance.

Step 2: Start Attendance

  1. Click the Check-In / Check-Out button.

Step 3: Select Route Point (If Applicable)

Depending on the route configuration:

  • Select a route point if route selection is allowed.

  • Follow the required route sequence if route ordering is enforced.

Step 4: Record Attendance

  1. Click Check-Out.

The system validates the employee's location and records the checkout activity if validation is successful.


View

Employees can view assigned route points and attendance progress from the Attendance screen.

Completed route points are visually identified to help employees track route completion status throughout the day.


Field Descriptions

Field Description
Check-In Records attendance at the selected route point.
Check-Out Records departure from the selected route point.
Check-In / Check-Out Button Opens attendance actions for route-based attendance.
Route Point Attendance location assigned within the employee's route.
Unordered Determines whether route points can be visited in any sequence.
Route Status Indicator Visual indicator showing completed route points.
GPS Location Employee's current geographic location used for attendance validation.

Workflow Rules

Route-Based Attendance Rules

Route-Based Attendance is available only when:

  • Manual Timesheets is enabled.

  • Attendance by Route is enabled.

  • A route has been assigned to the employee.

Attendance Processing Rules

During attendance:

  1. The system identifies the employee's assigned route.

  2. The system determines the active route point.

  3. The employee's GPS location is obtained.

  4. The distance between the employee and the route point is calculated.

  5. Attendance validation is performed.

If validation succeeds:

  • Attendance is recorded.

  • Check-in or check-out is completed successfully.

If validation fails:

  • Attendance is rejected.

  • An error message is displayed.

Route Assignment Rules

Employees must have an assigned route before performing route-based attendance.

If no route has been assigned:

  • Attendance cannot be validated.

  • Attendance processing is blocked.

Check-In / Check-Out Behavior

Employees must:

  • Be assigned to a route.

  • Be located within the permitted radius of the route point.

  • Follow route sequence requirements when ordered routing is enabled.

Successful validation records attendance for the selected route point.


Unordered Route Rules

When Unordered is enabled:

  • Employees may select any route point from the assigned route.

  • Route points can be visited in any sequence.

  • The Route Point field is available for selection.

Example:

Assigned Route:

  • Customer A

  • Customer B

  • Customer C

Allowed sequences include:

  • Customer B → Customer A → Customer C

  • Customer C → Customer A → Customer B

  • Customer A → Customer C → Customer B

Any route point can be selected first.


Ordered Route Rules

When Unordered is disabled:

  • Employees must follow the configured route sequence.

  • The Route Point field cannot be manually selected.

  • Route points become available only after the previous route point has been completed.

Example:

Assigned Route:

  1. Customer A

  2. Customer B

  3. Customer C

Required sequence:

  1. Complete attendance at Customer A.

  2. Complete attendance at Customer B.

  3. Complete attendance at Customer C.

Employees cannot skip ahead to a later route point.


Route Completion Rules

After an employee completes both check-in and check-out for a route point:

  • The route point is marked as completed.

  • The route point is displayed in green.

  • For ordered routes, the next route point becomes available.

This provides a visual indication of route progress.


Location Validation Rules

Attendance is permitted only when:

  • The employee is located within the configured radius of the route point.

Validation uses:

  • Employee GPS coordinates

  • Route point coordinates

  • Route point radius

If the employee is outside the permitted radius:

  • Attendance is rejected.


Customer Notification Rules

If the following setting is enabled:

Send Email to Customer When Staff Check In/Out at Customer Location

and the route point is linked to a customer:

  • The customer receives an email notification when the employee checks in.

  • The customer receives an email notification when the employee checks out.

This applies only to route points associated with customer records.


Route Priority Rules

If both:

  • Attendance by Route

  • Attendance by Coordinates

are enabled,

and the employee has:

  • An assigned route

  • An assigned workplace

for the same day,

then:

  • Route-Based Attendance takes priority.

  • Workplace attendance validation is bypassed.


Payroll Integration Behavior

Attendance records generated through route attendance may be used for:

  • Attendance calculations

  • Working hour calculations

  • Overtime evaluations

  • Payroll-related attendance processing


Status Behavior

Successful Attendance

When:

  • A route is assigned.

  • The employee is within the permitted radius.

  • Route sequence requirements are satisfied.

Result:

  • Attendance is recorded successfully.

Route Not Assigned

When:

  • No route is assigned to the employee.

The system displays:

"Route point is unknown."

Attendance cannot proceed until a valid route assignment exists.

Location Not Allowed

When:

  • The employee is outside the permitted route point radius.

The system displays:

"Your current location is not allowed."

Attendance is rejected.

Route Completion Status

Status Description
Pending Route point has not yet been completed.
Completed Route point check-in and check-out have been completed.
Green Indicator Visual confirmation that the route point has been completed successfully.

Synchronization

Data created in this screen is synchronized with:

  • Work Routes

  • Route Points

  • Attendance Management

  • Employee Check-In

  • Employee Check-Out

  • GPS Attendance

  • Customer Management

  • Employee Attendance History

  • Attendance Reports

  • Workforce Activity Reports

  • Payroll Processing

Attendance records are immediately available throughout all related attendance processes.


Important Notes

  • A GPS-enabled mobile device is required for route-based attendance.

  • Manual Timesheets must be enabled before employees can use this attendance method.

  • Employees must have an assigned route before attendance validation can occur.

  • Route points must be configured before routes can be assigned.

  • Employees must be physically located within the permitted route point radius to successfully record attendance.

  • If no route is assigned, the system displays "Route point is unknown."

  • If the employee is outside the permitted attendance area, the system displays "Your current location is not allowed."

  • Route points completed successfully are displayed in green.

  • Ordered routes require employees to follow the configured route sequence.

  • Unordered routes allow employees to select any available route point.

  • Customer notifications are sent only when customer notifications are enabled and the route point is linked to a customer.

  • Route-based attendance takes priority over workplace-based attendance when both methods are enabled.
