Purpose

The Chart of Accounts defines how all financial transactions are organized in SmartBooks.

Every bill, expense, payment, journal entry, and report uses accounts from the Chart of Accounts.


How to Access

  1. Go to SmartBooks

  2. Click Chart of Accounts

https://app.thulo.com/{tenantname}/ps/admin/accounting/chart-of-accounts


What You See on This Page

The Chart of Accounts page displays:

  • List of all accounts

  • Account names

  • Account types

  • Account detail types

  • Account numbers (if enabled)

  • Account status

Accounts are grouped by type for easier management.


Account Types

SmartBooks supports the following account types:

  • Asset

  • Liability

  • Equity

  • Income

  • Expense

Each account must belong to one account type.


Creating a New Account

To create a new account:

  1. Click New Account

  2. Enter the Account Name

  3. Select the Account Type

  4. Select the Account Detail Type

  5. Enter an Account Number if enabled

  6. Click Save

The account becomes available immediately for use.


Editing an Account

You can edit an account to:

  • Change the account name

  • Update detail type

  • Modify account number

Changes apply to future transactions only.


Deleting an Account

An account can be deleted only if:

  • It is not used in any transaction

Accounts already linked to records cannot be deleted.


Account Detail Types

Account detail types define how accounts behave in SmartBooks.

They control:

  • How transactions are recorded

  • How reports display data

Select detail types carefully when creating accounts.


Important Notes

  • The Chart of Accounts applies to the entire SmartBooks module

  • Incorrect setup can affect reports and balances

  • Only users with Settings access should manage accounts
