Purpose

Purchase Invoice Mapping defines how purchase invoice amounts are recorded into accounting accounts in SmartBooks.

This mapping ensures amounts from purchase invoices are posted to the correct accounts for expense tracking and reporting.


How to Access

  1. Go to SmartBooks

  2. Click Settings

  3. Open Mapping Setup

  4. Select Purchase Invoice Mapping

What Purchase Invoice Mapping Does

Purchase Invoice Mapping connects:

  • Purchase invoice components

  • Accounting accounts used to record those amounts

When a purchase invoice is created, SmartBooks applies this mapping automatically.


Mapping Options Covered in This Section

Part 1 of Purchase Invoice Mapping typically includes:

  • Purchase invoice totals

  • Expense-related components

  • Tax-related components (if applicable)

Each component can be mapped to a separate account.


Configuring Purchase Invoice Mapping

To configure or update purchase invoice mapping:

  1. Open Purchase Invoice Mapping

  2. Select the Purchase Invoice Component

  3. Select the Account to record the amount

  4. Save the mapping

Once saved, the mapping applies to future purchase invoices.


Updating Mapping

Update this mapping when:

  • Purchase invoice structure changes

  • Expense or tax accounts are updated

  • New purchase components are introduced

Changes affect future records only.


Important Notes

  • Purchase invoice mapping applies across SmartBooks

  • Incorrect mapping can affect expense and liability reports

  • Existing purchase invoices are not recalculated automatically

  • Purchase invoice creation is handled outside SmartBooks


When to Configure This

  • During initial SmartBooks setup

  • Before recording purchase invoices

  • When purchase-related reports show incorrect values
