Custom Fields
Purpose
The Custom Fields feature allows administrators to create additional fields for Purchase module records without modifying the standard system structure. Custom Fields enable organizations to capture business-specific information for vendors, vendor contacts, purchase orders, and purchase invoices.
Custom fields can be configured according to operational requirements and are displayed within the corresponding forms throughout the system.
Create
To create a new custom field:
Step 1
Navigate to Setup → Custom Fields.
Step 2
Click New Custom Field.
Step 3
Configure the custom field settings and select the appropriate Field Belongs To option.
Step 4
Complete the remaining custom field configuration.
Step 5
Click Save.
The custom field becomes available in the selected module.
Supported Modules
Custom fields can be created for the following Purchase module records:
Vendor
To create a custom field for Vendors:
Step 1
Navigate to Setup → Custom Fields → New Custom Field.
Step 2
Select:
Field Belongs To = Vendors
Result
The custom field will appear in Vendor forms and Vendor records.
Vendor Contact
To create a custom field for Vendor Contacts:
Step 1
Navigate to Setup → Custom Fields → New Custom Field.
Step 2
Select:
Field Belongs To = Vendor's Contacts
Result
The custom field will appear in Vendor Contact forms and Vendor Contact records.
Purchase Order
To create a custom field for Purchase Orders:
Step 1
Navigate to Setup → Custom Fields → New Custom Field.
Step 2
Select:
Field Belongs To = Purchase Order
Result
The custom field will appear in Purchase Order creation, editing, and detail screens.
Purchase Invoice
To create a custom field for Purchase Invoices:
Step 1
Navigate to Setup → Custom Fields → New Custom Field.
Step 2
Select:
Field Belongs To = Purchase Invoice
Result
The custom field will appear in Purchase Invoice creation, editing, and detail screens.
View
Custom fields are displayed within the forms and records associated with the selected module.
Users can view:

Edit
To modify an existing custom field:
Step 1
Navigate to Setup → Custom Fields.
Step 2
Select the custom field and click Edit.
Step 3
Update the required information.
Step 4
Click Save.
The updated field configuration is applied throughout the selected module.
Delete
To remove a custom field:
Step 1
Navigate to Setup → Custom Fields.
Step 2
Select the custom field and click Delete.
Step 3
Confirm the deletion in the confirmation dialog.
The selected custom field will be permanently removed from the system.
Field Descriptions

| Field Belongs To | Determines which module or record type will display the custom field. |
| Vendors | Displays the custom field within Vendor records. |
| Vendor's Contacts | Displays the custom field within Vendor Contact records. |

Workflow Rules

Custom fields are displayed only within the module selected in the Field Belongs To setting.

Data entered into custom fields is stored together with the corresponding record.

Multiple custom fields can be created for the same module.

Custom fields can be used to capture additional information not available in standard system fields.

Changes to custom field definitions affect all future records and applicable existing records.

Important Notes

Custom Fields are managed from the global Setup → Custom Fields section.
