Commodity Groups

Purpose

The Commodity Groups screen allows administrators to create and manage commodity classifications used throughout the Purchase module. Commodity Groups help organize items into logical categories, making purchasing, inventory management, reporting, and item selection more structured and efficient.

Commodity Groups created in this screen are available in the Commodity Group dropdown list when creating or editing items.


Create

To create a new commodity group:

Step 1

Navigate to Settings within the Purchase Module from the left sidebar.

Step 2

Select Commodity Group and click Add Commodity Group.

Step 3

Complete the required information:

  1. Enter the Commodity Group Code.

  2. Enter the Commodity Group Name.

  3. Specify the Display Order.

  4. Enable or disable the Display option.

  5. Enter additional Notes if required.

Step 4

Click Save.

The commodity group becomes available for use within item records and purchasing processes.


View

The Commodity Group list displays all configured commodity groups.

Users can view:

  • Commodity Group Code

  • Commodity Group Name

  • Display Order

  • Visibility Status

  • Notes

  • Creation Information


Edit

To modify an existing commodity group:

Step 1

Navigate to Settings → Commodity Group.

Step 2

Hover over the commodity group and click Edit.

Step 3

Update the required information.

Step 4

Click Save.

The updated information will be reflected throughout the Purchase module.


Delete

To remove a commodity group:

Step 1

Navigate to Settings → Commodity Group.

Step 2

Hover over the commodity group and click Delete.

Step 3

Confirm the deletion in the confirmation dialog.

The selected commodity group will be permanently deleted from the system.


Field Descriptions

Field Description
Commodity Group Code Unique code used to identify the commodity group.
Commodity Group Name The descriptive name of the commodity group.
Order Determines the display sequence of commodity groups in dropdown lists. Groups with smaller values appear first.
Display Controls whether the commodity group is visible and available for selection.
Notes Additional remarks or information related to the commodity group.

Workflow Rules

  • Commodity Groups are used to classify and organize items.

  • Commodity Groups appear in the Commodity Group dropdown field when creating or editing items.

  • Groups marked as visible are available for user selection.

  • Groups marked as hidden remain in the system but are not displayed in dropdown lists.

  • Display order controls how commodity groups are arranged within selection lists.

  • Multiple items can belong to the same commodity group.


Synchronization

Commodity Group data is synchronized with:

  • Items

  • Purchase Requests

  • Purchase Quotations

  • Purchase Orders

  • Purchase Invoices

  • Inventory Records

  • Reports

  • Analytics


Permissions

Permission Description
View Allows users to view commodity group records.
Create Allows users to create new commodity groups.
Edit Allows users to modify commodity groups.
Delete Allows users to remove commodity groups.

Important Notes

  • Commodity Groups should be configured before creating items that require categorization.

  • The Display option controls availability in dropdown lists without deleting the commodity group record.

  • Commodity Groups with lower order values appear first in selection lists.

  • Consistent commodity group classification improves purchasing organization, reporting accuracy, and inventory management.

  • Deleting a commodity group may affect items and transactions that reference the group.

  • Commodity Groups are intended to simplify item management and improve procurement reporting throughout the organization.
