Purpose

Mapping Setup defines how different transactions are automatically linked to accounting accounts in SmartBooks.

Proper mapping ensures transactions are recorded consistently without manual account selection each time.

How to Access

  1. Go to SmartBooks

  2. Click Settings

  3. Open Mapping Setup

What You See in Mapping Setup

The Mapping Setup page contains multiple mapping sections, such as:

  • Invoice Mapping

  • Payment Mapping

  • Purchase Mapping

  • Expense Mapping

  • Inventory Mapping

  • Asset Mapping

  • Manufacturing and component mapping

Each section controls how a specific type of transaction is recorded.

How Mapping Works

  • Each mapping links a transaction type to an accounting account

  • When a transaction is created, SmartBooks checks the mapping

  • The mapped account is applied automatically

If no mapping exists, manual account selection may be required.

Configuring Mapping

To configure or update a mapping:

  1. Select the required mapping section

  2. Choose the relevant item, category, or transaction type

  3. Select the accounting account to be used

  4. Save the mapping

The updated mapping applies to future transactions only.

Managing Existing Mappings

You can:

  • Edit existing mappings

  • Replace mappings when accounts change

  • Review mappings during audits or setup reviews

Important Notes

  • Mapping setup affects the entire SmartBooks module

  • Incorrect mappings can cause misclassification in reports

  • Existing records are not updated automatically

  • Mapping should be reviewed before daily operations begin

When to Review Mapping Setup

  • During initial SmartBooks setup

  • When adding new transaction types

  • When changing the chart of accounts

  • When reports do not match expectations
