Debit Note - Void and Refund

Debit Note Refunds and Void Management

Purpose

The Debit Note Details screen allows users to manage Debit Note status, issue refunds, and void Debit Notes when necessary. These functions help organizations handle vendor adjustments, returns, and financial corrections while maintaining proper transaction controls.


Void Debit Note

Purpose

The Void feature is used to invalidate an active Debit Note without deleting it. A voided Debit Note remains in the system for historical and audit purposes but can no longer be used for refund processing.


Conditions for Void

A Debit Note can only be voided when all of the following conditions are met:

  • The Debit Note is not closed.

  • No invoices have been debited from the Debit Note.

  • No refunds have been created.

  • The user has permission to edit Debit Notes.


Void a Debit Note

Step 1

Navigate to:

Purchase → Debit Notes

Step 2

Click the Debit Note Number hyperlink.

Step 3

Click More.

Step 4

Select Void.

Result

The Debit Note status changes to Void.

The Debit Note remains available for reference but can no longer generate refunds.


Workflow Rules

After a Debit Note has been voided:

  • Refund creation is disabled.

  • The Debit Note cannot be used in further financial processing.

  • Historical transaction information remains available for auditing purposes.


Cancel Void (Reopen Debit Note)

Purpose

The Cancel Void feature reactivates a previously voided Debit Note.


Reopen a Debit Note

Step 1

Open the Debit Note.

Step 2

Click More.

Step 3

Select Mark as Open.

Result

The Debit Note status changes from Void to Open.

The Debit Note becomes available for normal processing again.


Refunds

Purpose

The Refund feature is used to record vendor refunds related to a Debit Note.

Refund transactions help track money returned by vendors and maintain accurate financial records.


Create Refund

Step 1

Navigate to:

Purchase → Debit Notes

Step 2

Click the Debit Note Number hyperlink.

Step 3

Click More → Refund.

Step 4

Complete the required information:

  1. Enter the Refunded Amount.

  2. Enter the Refund Date.

  3. Select the Payment Mode.

Step 5

Click Save.

The refund transaction is created and linked to the Debit Note.


View Refunds

To view refund transactions:

Step 1

Open the Debit Note Details screen.

Step 2

Select the Refunds tab.

The system displays all refund transactions associated with the Debit Note.


Edit Refund

Step 1

Open the Refunds tab.

Step 2

Select the refund transaction.

Step 3

Click Edit.

Step 4

Update the required information.

Step 5

Click Save.

The refund record is updated.


Delete Refund

Step 1

Open the Refunds tab.

Step 2

Select the refund transaction.

Step 3

Click Delete.

Step 4

Confirm the deletion.

The refund transaction is removed from the Debit Note.


Workflow Rules

Refund Eligibility

Refunds can only be created for Debit Notes that:

  • Are active.

  • Have not been voided.

  • Meet the organization's refund processing requirements.

Void Restrictions

Once a Debit Note is voided:

  • Refund creation is disabled.

  • Existing refund records remain unchanged.

Refund Tracking

All refund transactions are stored within the Refunds tab and become part of the Debit Note history.


Status Behavior

Status Description
Open Debit Note is active and available for processing.
Void Debit Note has been invalidated and cannot generate refunds.
Closed Debit Note processing has been completed.

Synchronization

Debit Note refund information is synchronized with:

  • Debit Notes

  • Vendors

  • Purchase Invoices

  • Refund Transactions

  • Payment Records

  • Accounting

  • Financial Reports

  • Audit Logs


Permissions

Permission Description
View Allows users to view Debit Notes and refund records.
Edit Allows users to modify Debit Notes.
Void Allows users to void eligible Debit Notes.
Reopen Allows users to cancel a voided status and reopen a Debit Note.
Create Refund Allows users to create refund transactions.
Edit Refund Allows users to modify refund transactions.
Delete Refund Allows users to remove refund transactions.

Important Notes

  • Voiding a Debit Note does not delete the record; it only prevents further processing.

  • A voided Debit Note cannot generate refunds.

  • Debit Notes with existing refunds or debited invoices cannot be voided.

  • Refund records can be managed from the Refunds tab.

  • Reopening a voided Debit Note restores its ability to participate in normal processing.

  • All refund activities are recorded for auditing and financial reporting purposes.
